Reports To: Manager, Marketing, Communications, & Student Recruitment

Position Summary:
The Administrator, Student Recruitment supports the Recruitment Head in all administrative tasks relevant to the responsibilities below, and liaises with other team members to facilitate timely and efficient flow of projects assigned. Prepares all materials requested for the job, ensures accurate and prompt data entry, and submits reports periodically.

Major Responsibilities:

1 School visits
• Prepares list of schools to be visited.
• Defines the person in charge in each school.
• Sends UD proposal by email or fax to the schools.
• Follows up to set an appointment for UD presentation.
• Arranges all presentation requirements (brochures, gifts, inquiry sheets, laptop and presentation).
• Enters all inquiry sheets data on excel sheets.
• Follows up directly after high schools results.

2 Inviting schools to visit UD:
• Prepares list of schools to be invited to visit UD.
• Sends invitation proposals by email of fax.
• Plans the visit program and sends copies to all participants.
• Follows up with the person in charge to set a date for the visit.
• Books venue to welcome students.
• Arrange all requirements (brochures, student’s gifts, breakfast)
• Arranges for IT support.
• Coordinates with participating faculty members.
• Arranges for on-campus tours.
• Arranges for photographers.
• Enters data of students’ details.
• Arranges to send applications and brochures for schools we failed to visit.

3 Follow ups:
• Collects all data from school visits, phones inquiries and exhibitions in Excel Sheet.
• Arranges phone numbers and email addresses in notepads.
• Keeps in touch by sending SMS’s and emails regularly.
• Follows up regularly on phone inquiries.
• Prepares summer follow up plan.
• Calls up grade 12 students after high school results
• Files all related forms.
• Assists in arranging recruitment plans (organizations – consulates).
• Updates official letters to be send to organizations and consulates.
• Updates Collaboration Agreements as requested by supervisor.
• Provides competitive analysis for other universities when requested.
• Prepares forms: Purchase Requisitions, Design Brief, and Marketing items’ request.
• Submits Reports on School visits schedules, Schools visiting UD schedules, and follow up reports.

Qualifications:
• Bachelor degree preferably with a specialization in Business or Marketing
• 2-3 years of recruitment experience
• Proven knowledge of best practices in telephone screening and interviewing
• Proven ability to maintain confidentiality
• Experience using applicant tracking technology
• Excellent verbal and written communication skills
• Proficiency in MS Office
