Administrator, CEIT
- Provide comprehensive support to the CEIT Dean by managing Dean’s work schedule and coordinating meetings with precision.
- Assist the CEIT Program Directors by executing various tasks to facilitate the smooth operation of programs.
- Address and fulfill requests from CEIT students, ensuring their needs are met effectively.
- Skillfully handle faculty and staff requests, securing timely approvals as required.
- Operate a diverse array of office equipment, including fax machines, photocopiers, scanners, videoconferencing setups, and telephone systems.
- Utilize desktop publishing software and digital graphics to create spreadsheets, presentations, reports, and documents, thereby managing databases efficiently.
- Spearhead training and orientation sessions for new staff and faculty members, promoting a well-informed onboarding process.
- Display proactive task prioritization, ensuring prompt follow-through, and furnish the CEIT Dean with constructive feedback.
- Coordinate and manage intricate daily schedules, optimizing time management for efficient operations.
- Organize meetings, disseminate scheduling notifications, and uphold executive calendars meticulously.
- Maintain course files to ensure accurate record-keeping and streamlined information retrieval.
- Safeguard the confidentiality of CEIT documents, including answer scripts, upholding the utmost discretion.
- Oversee the maintenance of accreditation documents pertinent to bodies such as CAA and ABET.
- Efficiently organize and manage both physical and electronic files, contributing to streamlined data organization.
- Supervise scholarship projects, ensuring their smooth execution and timely progress.
- Manage the faculty database using Scholar-System, maintaining accurate and up-to-date records.
- Employ various communication channels, including telephone, mail services, websites, and email, to effectively disseminate information.
- Provide essential customer and client relations services, encompassing call management, paperwork processing, and scheduling periodic meetings.
- Prepare, format, proofread, and finalize diverse business documents, including meeting minutes, letters, and agendas.
- Create and enhance formal presentation materials, particularly utilizing PowerPoint, to support impactful communication efforts.
- Educational Foundation: A bachelor's degree in business administration or a related field, complemented by experience in administrative support and project or program management.
- Administrative Expertise: 3-5 years of proven experience as an administrative assistant, showcasing a depth of familiarity with administrative functions.
- Language Proficiency: A keen command of grammar, punctuation, spelling, and precise English language usage to ensure clear and effective communication.
