Job Description:

The University of Dubai is seeking a highly motivated Research Assistant to spearhead innovative communication techniques for optical communication systems. The role demands an in-depth understanding of the physical attributes of optical wireless communication and devices, coupled with the ability to devise inventive solutions for their application in optical space network configurations.

Success in this position requires a robust background in ray tracing techniques, Reconfigurable Intelligent Surfaces (RIS), and machine learning methodologies. Summary Position

Under supervision of the Internship & Career Development Center (ICDC) and Alumni Relations Office (ARO) Manager, the Internship Senior Administration position uses independent analysis and judgment to develop, coordinate, and supervise complex and varied administrative tasks in order to implement successful placement for the University of Dubai (UD) interns. The position encompasses two distinct areas of responsibility: Internship development and coordination, employer relations and student/academic department relations.

The Internship Executive will work collaboratively with employers, the alumni personnel, Registration Department, colleges and other UD departments.

Key Job Elements

At the onset, the Internship Senior Administration will complete all logistics arrangements for the Internship Program 3-4 months prior to the start of Internship. The following are the duties and responsibilities of the Internship Senior Administration:

  1.  Provide leadership in the development and implementation of a viable internship program.
  2.  Initiate and build partnerships with employers to develop student opportunities for experiential endeavors nationally and internationally through verbal and written communications.
  3.  Oversee the registration process for internship program and Industry Project course.
  4.  Make initial screening for job descriptions, internship proposals and training plans before forward to faculty superiors.
  5.  Work collaboratively with colleges and university departments to review internship policies and procedures for ensuring the academic quality and integrity of internships
  6.  Ensure that all students, faculty supervisors and employers’ concerns regarding the internship program are addressed in an efficient manner.
  7.  Create internship material and publications (PowerPoint presentations, Newsletter, flyers, etc.).   
  8.  Co-review and update as needed internship manuals and promotional materials.
  9.  Research appropriate websites and resources to enhance internship processes and supervision mechanism.
  10.  Visit internship providers with faculty members from the colleges (if required) to assess the training programs available as well as the potential of these organizations in term of their profile, structure, size, staff and resources, reputation, and market standing.
  11.  Determine what incoming information via mail needs to be communicated to the college; Independently drafts correspondence.
  12.  Plan and co-conduct internship workshops and information programs.
  13.  Assess the effectiveness of internship programs.
  14.  Prepare and submit report about internship placement to the Internship Manager after each semester
  15.  Maintain internship placement database for purposes of tracking and reporting.
  16.  Update Internship providers’ database on a regular basis.
  17. Perform other essential duties and tasks specific to position

Other Activities of Internship and Career Placement

  1.  Provide assistance to students with career planning, resume and cover letter writing, interviewing techniques, job search strategies and job negotiation, etc.
  2.  Counsel and advise students regarding employment opportunities through various employers.
  3.  Co-organize career events and activities (Open days, face to face and virtual job fairs, employers’ award ceremony, etc.)
  4.  Co-build and maintain the network of career speakers.
  5.  Coordinate career-related workshops, webinars, and networking events to meet the needs of UD students, and alumni.
  6.  Attend requests of possible employers seeking to hire students and graduates.
  7.  Assist with the maintenance of the online jobs database and circulate employment opportunities among students/ alumni.
  8.  Assist in compiling and providing data that is compliant with all federal and programmatic accreditation requirements including, but not limited to recruitment activities, career employment reports, academic areas represented in placements, salary scales, job market research reports, etc.
  9.  Use and maintain technology applications within the department, including, but not limited to web-based products and services, employer and student online services i.e. Career Assessment software, ICDC LinkedIn, to connect students to alumni and job seekers to employers.
  10.  Assist in compiling, editing, and distributing Graduates’ Resume Book to prospective employers.

Position Requirements Knowledge of Career and occupational resources, trends, and opportunities.

  1.  Bachelor Degree in Career Counseling, Human Resources, psychology, business management, or other related major
  2. Minimum two years’ work experience with a recruitment or career counseling firm or in a university;
  3. Strong interpersonal skills in order to work collaboratively with human resources staff and other company professionals.
  4. Strong communication. The position involves producing extensive communication with industry HR professionals.

  3. Assist in formulating and executing career development strategies to enhance students’ employability.
  4. Create and maintain strong partnerships between Employers and UD Career Development Center to create employment opportunities for our students and graduates.
  5. Provide guidance to students and alumni on employment opportunities through various employers.
  6. Promote career awareness, exploration, and planning among students and alumni.
  7. Offer assistance to students and alumni in major selection, career planning, resume and cover letter writing, interviewing techniques, job search strategies, and job negotiation.
  8. Organize face to face and virtual career events and activities including (Open days, career fairs, employers’ award ceremonies, )
  9. Organize career-related workshops, webinars, and networking events to meet the needs of UD students and alumni.
  10. Cultivate and manager a network of career speakers.
  11. Maintain the online jobs database.
  12. Monitor local and international workforce trends and develop/implement strategies within the career services area that help address these needs.
  13. Assist in compiling and providing data that is compliant with all federal and programmatic accreditation requirements including, but not limited to recruitment activities, career employment reports, academic areas represented in placements, salary scales, job market research reports, etc.
  14. Publicize partnership resources
  15. Use and maintain technology applications within the department, including, but not limited to web-based products and services, employer and student online services i.e., LinkedIn to connect students to alumni and job seekers to employers.
  16. Contribute to the creation and implementation of employer surveys, graduate surveys, response rates, and reporting results.

 

  1. Secondary Responsibilities

Internship

  1. Act as a liaison between the student, colleges and the internship providers.
  2. Collaborate with faculty and administration within Internship policy and procedures for ensuring the academic quality and integrity of internships
  3. Initiate, build and sustain partnerships with employers to develop student opportunities for experiential endeavors.
  4. Coordinate the registration process for internship and Industry Project course.
  5. Conduct site visits to evaluate appropriateness of host organizations and relevance of internships for students.
  6. Oversee internship placement formalities for undergraduate and graduate students providing employment information, paperwork and authorization.
  7. Ensure timely submission that all requirements needed for the completion of the internship program by students.
  8. Assist in the preparation of a comprehensive Internship PowerPoint presentation covering Internship general guidelines and requirements.
  9. Organize and co-conduct internship Orientation days and information programs.
  10. Perform initial screening for job descriptions, internship proposals and training plans before forwarding them to Academic Supervisors.
  11. Address concerns from students, Academic Supervisors and employers regarding the Internship program in an efficient and professional manner.
  12. Regularly review and propose amendments to the Internship webpage.
  13. Contribute to the creation/implementation of Internship providers’ surveys, response rates and reporting results.
  14. Perform other essential duties and tasks specific to the position.
  15. Collaborate in assessing the effectiveness of internship programs by identifying policies and procedure gaps and proposing recommendations for improvement.
  16. Update Internship providers’ database on a regular basis.

    Minimum qualifications

  • Bachelor Degree preferably in Career Counseling or Human Resources.
  • Minimum five years’ work experience with a recruitment or career counseling firm or in a university;
  • Career development Executive must have strong interpersonal skills so that they can work collaboratively with human resources staff and other company professionals. It is also important that they have strong communication skills because their duties involve producing written instructional materials as well as leading training programs. Analytical skills are important for several reasons. They must assess workplace issues, workplace processes and employee performance. They use the data that they process to determine how to provide training to resolve issues, improve efficiency, meet company goals and improve employee performance.
